The role
The Office and Board Administrator will provide support to the Board of Directors and the Executive Leadership Team (ELT), ensuring smooth and efficient office management operations. This role requires a highly organized, proactive, and adaptable individual capable of managing multiple priorities with professionalism and confidentiality
Key Responsibilities:
1. Executive Support:
- Provide high-level administrative support to the Executive Leadership Team, including scheduling meetings, coordinating travel arrangements and expense management
- Support preparation and distribution of Executive team monthly management Board reporting packs and other documents on behalf of the ELT
- Support, coordination and preparation of Town Hall decks and agendas
- Compile data, and prepare reports and documents as requested by the ELT
2. Board and Committee Support:
- Schedule and coordinate board meetings, including preparing agendas, maintain and update meeting records. Ensure all papers are circulated as per agreed timelines
- Take minutes during meetings and ensure accurate and timely distribution of meeting minutes and follow-up on action items
- Support the preparation of materials for the meetings
- Serve as the primary point of contact for Board members, addressing inquiries and providing necessary support
3. AGM & Member Director Elections:
- Provide logistical support for Annual General Meetings (AGMs)
- Assist in the preparation and distribution of AGM notices and documentation
- Support the coordination of Member Director elections, including candidate communication and voting process management
- Assist with onboarding of new Member and Independent Non-Executive Directors by sharing induction materials and arranging introduction sessions
4. Office Management:
- Support the day-to-day operations of the UK office, ensuring a well-organized and efficient work environment
- Be responsible for the compliance aspects of the office such as fire and health & safety including booking annual risk assessments and ensuring training for first aider and fire marshals is up to date
- Manage office supplies and inventory, ensuring adequate stock levels and timely replenishment
- Coordinate with IT and facilities teams to address office equipment and maintenance needs
- Lead in organizing company events and meetings
5. Project Management:
- Action tracking / monitoring deadlines plus ad hoc support for execution of strategic projects and initiatives. Support the ELT in executing strategic projects and initiatives by booking meetings and providing other ad hoc administrative support
Knowledge, Skills & Experience
- Experience of organising meetings, agenda setting and minute taking
- Ability to work with IT systems to improve efficiency in the office
- Strong organizational and time-management skills, with the ability to prioritize and manage multiple tasks simultaneously
- Strong written and verbal communication skills, with meticulous attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software
- Demonstrable discretion, meticulous about confidentiality and in handling sensitive information.
- Proactive and self-motivated with a strong sense of initiative and willingness to learn and develop within the role
- Ability to work independently and as part of a team in a fast-paced, dynamic environment.
- Excellent interpersonal skills and the ability to build strong relationships with stakeholders
- Problem-solving skills and the ability to anticipate needs and provide effective solutions
- Flexibility and adaptability to changing priorities and demands
